Set it up once

about 20 minutes

  1. In Google Business Profile, open Notifications and switch on alerts for new reviews. Do the same in Yelp’s business settings if you’re listed there.

  2. Save the prompt below as a saved chat called Review replies, with your one line about the business filled in.

  3. Write down your rule for one-star reviews: the owner replies, never staff, and never on the day it came in.

Run it every time

  1. Open the alert and copy the reviewer’s exact words.

  2. Paste them under the saved prompt, and pick one of the three drafts.

  3. Change one detail so it sounds like you, then read it out loud.

  4. Post it in Google Business Profile or on Yelp, from your business account.

Every review has a reply within 2 days. Once a month, scroll your Google Business Profile and Yelp reviews and count the ones without.

When not to use it

  • A review mentions an injury, damage, or a legal threat. Reply with one line offering a phone call and nothing else, then call your insurer.
  • A review is clearly fake or from a competitor. Report it to Google or Yelp first; replying makes it look real.
  • You’re angry. Wait a day. This playbook has no step for “reply now.”

Privacy: Paste the review. Skip the reviewer’s name and any job or address details.

When you outgrow this
If you get more than 20 reviews a month, look in Jobber or Housecall Pro for their review tools. The one-star rule stays with the owner.
